Power BI reporting for DocRead

Power BI Compliance Reporting Built on Your DocRead Data

DocRead records who has read and acknowledged each policy. Power BI turns those records into dashboards that your managers, auditors and leadership team can filter, drill into and act on.

Rated 5.0 on Capterra. Works with DocRead for Microsoft 365 and DocRead for SharePoint Server.

Why Power BI

Go beyond the standard reports

DocRead includes live compliance dashboards for policy status and acknowledgements. When you need a different cut of the data, by team, document, audience or version, Power BI lets you build it.

See reading status at a glance

Break reading tasks down into completed, assigned and overdue, then filter by document, audience or SharePoint site.

Check the right people got the right documents

An audience report shows which documents are assigned to which user groups, so you can spot items assigned by mistake before they become a compliance gap.

Support onboarding

Use the audience report to confirm that new hires are assigned the policies they must read.

Keep audit evidence to hand

Reading receipts hold completion dates, document versions, overdue status and quiz failures, so one report can answer an auditor's question.

Report your way

Add hierarchies to drill down from company level to team, and apply branded report backgrounds so dashboards look like they belong to your organization.

Keep reporting away from daily work

With DocRead 365, the Analytics Module holds your compliance data in its own analytical data store, so deeper reporting does not touch DocRead's transactional database.

How it works

From DocRead records to Power BI dashboards

The route depends on your DocRead edition. The steps after the connection are the same.

  1. Connect your data

DocRead 365: the Analytics Module creates a separate analytical data store for your compliance data. DocRead for SharePoint Server: Power BI Desktop connects to your DocRead SQL database.

  2. Choose the right data

We build on the DocRead views made for reporting: Readership.vwTaskInfo for the current status of reading tasks, and Readership.Receipt for the history of reading receipts.

  3. Build the dashboards

Starting from Power BI templates and our published guides, we shape reports around your teams, audiences and policies.

  4. Share the right view

Each audience gets the view it needs, from the compliance owner to department heads.

SharePoint Server

Pick the data mode that fits your setup

If you run DocRead for SharePoint Server, Power BI Desktop can read your DocRead database in two ways.

Import

A copy of your data

Power BI takes a copy of the DocRead data. Reports do not affect your server. The data stays a snapshot of when it was imported.

DirectQuery

Your live database

Reports read the live DocRead database, so you see the latest figures. This can add load to your SQL server.

The machine running Power BI must be able to reach your SQL server on the network. Your SQL Server administrator can give you the server name and the DocRead database name. We will recommend a mode once we have looked at your environment.

FAQ

Power BI reporting questions, answered

What is Power BI compliance reporting for DocRead?

It means using Microsoft Power BI to build custom dashboards from your DocRead policy acknowledgment data. You get views by team, document, audience or version that go beyond the standard DocRead reports.

Do I need DocRead to use this?

Yes. This service is built on DocRead data. DocRead is Collaboris software for policy management and acknowledgment on SharePoint and Microsoft 365.

Which DocRead editions does it work with?

For DocRead 365, the Analytics Module gives Power BI a separate analytical data store and pre-built templates. For DocRead on SharePoint Server, Power BI Desktop connects to the DocRead SQL database.

Will Power BI reporting slow down DocRead?

With DocRead 365, the Analytics Module keeps reporting data in a separate store, so it has no impact on DocRead's transactional database. On SharePoint Server, Import mode takes a copy of the data so reports do not affect your server, while DirectQuery reads the live database and can add load to your SQL server.

Can I drill down by team and use my own branding?

Yes. Power BI supports reporting hierarchies for drill-down and custom report backgrounds. Collaboris publishes guides and free background templates for both.

How do I get started?

Contact Collaboris to book a demo or request a quote. We will look at your DocRead edition, your reporting questions and your audiences, then recommend an approach.
