How to view and interpret DocRead reports

  1. This webcast will show you how to view and interpret DocRead reports.

  2. To view DocRead reports go to your site home page, choose site actions then site settings and look for the DocRead menu. From this menu choose Reports.

  3. This will take you to the standard Site Reading Dashboard which shows a summary of all issued required reading tasks.

  4. Each report has a similar structure with parameter selection drop down boxes at the top, a report navigation toolbar and the ability to export the report to a standard format.

  5. You can also print the report and hide the parameter section if wished.

  6. On the site reading dashboard the only parameter is to change the view between required or recommended reading tasks.

  7. The first section shows the overall distribution status and shows the total number of documents assigned, completed, deleted or overdue. The pie chart illustrates the relative proportions of these reading statuses.

  8. On this report you can see that there have been a total of 213 recommended tasks issued, 50 have been assigned but not completed, 90 have been completed, 27 have been deleted by an administrator and 46 are overdue.

  9. The second section focuses on the top overdue readings and highlights the top reports based on the total number of overdue reading tasks.

  10. For each of these reports the table shows the title of the document, the document ID and the number of overdue reading tasks. Again the pie chart illustrates the relative proportions of the overdue tasks.

  11. So in this example 13 users have not yet acknowledged completion of the Whistleblowing policy reading task.

  12. The following sections within the Site Reading Dashboard repeat this format, but focus on the top assigned tasks and top completed tasks.

  13. If you want to see more detail about a particular report, simply click on the report title to drill down to the Document Reading report.

  14. This report shows me details for all users who were sent this task. It shows the user name, due date, creation date, completion date, the audience the task was sent to and the current status of the task by user.

  15. You can also use the filter at the top of the report to narrow down the details shown. For example if you only want to view those users who have not yet completed the task, use the reading status drop down box and select ‘overdue’.

  16. Use the forwards and backwards icons in the toolbar to scroll through the report pages.

  17. If you want to export the report to a different format, simply click on the drop down menu, select the format you want and then click export. Just open or save the report as normal.
