This webcast will show you how a user can view and complete a DocRead task.

There are two types of reading task, required and recommended. A user must read and acknowledge required reading tasks before the due date otherwise they will fall overdue and reminder emails will be sent.

Recommended reading tasks should be used when the information is not essential, but is considered useful or informative for the user.

There are three ways to view your reading tasks. Each method will take you to the same reading task window where the process for completing the task is exactly the same.

The first method I’m going to show you is the most convenient for a user. In this example a DocRead webpart has been included on the organisations intranet home page, so reading tasks are brought immediately to the attention of users as soon as they log on.

You can see from this reading list that there are six required reading tasks. The one at the top is overdue, the next one has been assigned and the last four have already been completed.

To complete a required reading task simply double click on a reading task and the Reading Task Details window will appear with a simple three step process you need to follow to complete the task.

The first tab shows overview information about the task needing completion such as the group or audience it has been distributed to, the fact that it is a required task, the date it was assigned and the due date for completion.

To view the document go to the second tab and click on the icon. This icon shows me that it is a document, but you could be sent video clips, web pages or office documents instead, all of which can be viewed by clicking this icon.

You need to open the file and read the document contents.

Close the document down to return to the reading task window and if you are happy with the document contents, go to the third ‘confirmation’ tab to complete it.

You need to read the terms and conditions applied to the document, check the ‘I agree’ box and click ‘confirm’. You will then receive a ‘successful’ notice.

Click ‘ok’ and you will notice that the document status has been updated to ‘completed’.

If you click on the third ‘confirmation’ tab again, you can view a reading certificate to prove completion of the task.

The second way to access the site reading window is to select your DocRead library from the quick launch menu on your home page.

This page will show you all of the documents that have been added to this library. However, at this point you will not know if you are required to read or complete any of these tasks or whether these have been added to the library for other employees to read.

To view your personal reading list use the library tools menu on the ribbon at the top of the screen and select reading requirements.

You then have three choices to view either required, recommended or completed reading tasks.

When you click on one of these options you will be able to view a list of reading tasks and also see the three part reading task window I’ve already shown you.

The last way to find out whether you need to read a document is to click on an individual document and select ‘reading requirements‘ from the drop down list which will again take you to the reading task window.
